Expense Management

Q: What expenses are partners and sponsors responsible for during the Executive Partner Forum?

A: Partners and sponsors are responsible for all associated travel and lodging expenses. Partners can receive a reimbursement of 50% of the expenses for travel and lodging (during the dates of the forum) under the MDF program, following the process and policies of Avaya Connect and MDF.

Travel/Transportation

Q: What expenses are partners and sponsors responsible for during the Executive Partner Forum?

A: Airport transfers will be provided to/from the Resort and will run on event dates only. If you are traveling outside of Forum dates/times, you should make your own arrangements.

Q: When I arrive at the airport, where do I find the Avaya ground transportation?

A: Once you exit the terminal, you will be met by staff of ITT Services holding a sign that says AVAYA. There will be many independent handlers offering transportation to the hotel; please use only ITT Services.

Q: Will there be a shuttle at the end of the Forum?

A: Departure shuttles will be provided. Updates to the shuttle schedule will be provided in Cancun.

Q: If I am traveling outside the specified travel dates or I arrive after the window of schedule transportation, how do I get to the hotel?

A: You must take a taxi or shuttle service. Not all taxis accept credit cards. All costs associated with transportation outside of the specified scheduled transportation are at your own expense.Access the Ground Transportation link located on the left navigation bar of the Forum registration site for further details.


Miscellaneous Questions

Q: What is included in the all-inclusive rate?

A:

  • Unlimited International Premium Liquors, wines, beer, bottled water, soft drinks.
  • The surcharge includes hotel house wines, however the wine list may be upgraded by requesting sommelier service, and these wines are available at an additional charge.
  • 24 hrs Room Service (no service fee).
  • Late night snacks (Room Service).
  • WiFi access throughout the property
  • Applicable government taxes (11% VAT and 3% occupancy tax)
  • All Food & Beverage gratuities
  • Maid Service and Portage

Q: What are the times for hotel check-in and check-out?

A: Standard hotel check-in time is 3:00pm – check out time is 12:00 pm. If you are arriving before 3:00pm the hotel will keep your baggage until your room is available.

Q: What is the dress code?

A: For Welcome Receptions, casual resort wear and appropriate shoes or sandals are recommended. Please note that heels are not recommended for beach side events. For Award Dinners, business or resort evening attire is requested. Temperatures inside the venues can vary so we recommend that you bring a light jacket or sweater.

Q: Are guests/spouse invited to attend the conference?

A: This is a business event and is not intended for guests/spouse. Forum Attendees are expected to attend all sessions associated with the conference. Name badges can be obtained only through the formal registration process and will be required to access all conference events. Avaya Executive Partner Forum Headquarters will not have the capacity to handle personal travel requests.
